Job Description

  • Develop accurate material take offs from the prints and specifications or design and develop specifications from field inspections.
  • Develop accurate labor and subcontractor cost take offs necessary for performing the installation of materials, equipment use and other labor functions as put forward in the plans and specifications or design and develop specifications from field inspections.
  • Where appropriate, develop prices with Xactimate ensuring the optimal margins through material breakouts and other methods designed to optimize profitability.
  • Ensure that all pertinent information is loaded in Xactimate and other required programs to include photos, inspection notes and other job related information.
  • Ensure the quality servicing of Adjusters and customers by monitoring key indicators and reports as well as frequent and random contacts with Adjusters and customers.
  • Ensure the quality servicing of Adjusters and customers by personal involvement.
  • Where deemed necessary, "shop" material specifications with various manufacturers and/or suppliers for best prices.
  • Perform thorough inspection within two business days after getting lead.
  • Writes estimate within two business days after performing inspection (dependent upon size of job, this timeframe may vary).
  • Ensure all proper documentation is signed by customer
  • Responsible for the development of cost estimates within the time frame as assigned by the due dates from the Lead Estimator.
  • Attend any Pre-bid conferences as required and/or directed by the Lead Estimator.
  • Assist Project Managers in the development of Budgets, Change Orders and other items pertinent to assigned jobs.
  • Where necessary, visit job sites to secure data necessary to develop original bids. Then develop bids and change orders supplying the estimated data to the appropriate program(s).
  • Where necessary, perform minor engineering and specification writing connected with estimates and change orders or to clarify field problems as long as they do not deviate from the agreed upon scope.
  • Develop full knowledge of Hays & Sons' estimating and job costing computer systems.
  • Perform job closing reconciliation to ensure that any flaws in the estimating process are not repeated.
  • Follow up on bids as necessary to include following up with Appraisers and owners on bids that were not accepted.
  • Solicit new business.
  • Participate in on-call rotation
  • Reviews Job Cost Summary Reports and evaluate the profitability of all completed jobs. Undertake corrective actions as required.
  • In conjunction with the Lead Estimator, takes the necessary steps to ensure that there is an acceptable balance in sales throughout the year to optimize the company's resources.
  • Call leads within one business day of receipt and follow up every lead every week until closed.
  • When applicable, meet with architect and secure drawings for permits.
  • Ensure that assigned sales goals are met.
  • Work closely with the Lead Estimator to ensure that bid reviews are completed with sufficient time to meet submission objectives for draft and detailed scopes of work to all those needing this information.
  • Ensures the prompt and accurate development and submission of all administrative tasks associated with the position.
  • Attends weekly sales meetings ensuring he/she gains from the experience.
